Project Administrator

Location: Plaistow, NH

Project Administrator | Methuen Construction Company, Inc.

Methuen Construction is seeking a Project Administrator to provide essential support to the Project Administration department. This position reports to the Project Administration Manager and is not responsible for the oversight of other teammates. This is a full-time, salaried-exempt position.

Your Role

  • Project Support
    • Request, process, and maintain project-specific required documentation throughout the project duration.
    • Maintain project submittal log including the distribution of submittal responses, resubmittal creation, workflow assignments, due dates, and the creation of the preliminary submittal and closeout log.
    • General support as required including research, data entry, document updates, etc.
    • Assist Project Team and Operations Administration teammates as needed.
  • Invoice Management
    • Perform initial review of all project invoices:
      • Assign cost code(s) based on commitment’s schedule of values
      • Review invoices for proper retainage and tax exemptions
    • Ensure vendors comply with all contract requirements (insurance, certified payroll, submission of liens, etc.) prior to authorizing release of payment
  • Platform Support
    • Assist with maintaining all software platforms including CMiC, Autodesk, Procore, and Sharepoint/OneDrive.
    • Intermediate/expert knowledge of all Microsoft Office tools preferred.
    • Perform bulk edits to distribution lists, submittal workflow lines, submittal logs, etc., as needed.
  • Resource Management
    • Assist with payroll time entry on a weekly basis confirming all project time entries are entered and align with the project specific trade codes or department codes allowed and work with payroll and project teams to correct any inaccurate time entries
    • Track weekly signed crew timecards in JobDocs
    • Real time tracking/metrics for all Northeast Projects
  • Shared Functions – The following functions will be the responsibility of all department personnel as assigned by the Operations Administration department leadership on an as-needed basis
    • New project set up within project management software for all pertinent project-specific items including the processing of drawings, specifications, and project information.
    • Review contract documents, contract drawings/plans, and specifications to determine required project-specific forms.
    • Manage all project-related document control within company server, project management, FTP site, and/or hard copy files.
    • Printing, packaging, and sending hard copy documentation as required by contract.
    • Weekly scheduled Front Desk coverage. Additional coverage as needed.

Your Education and Experience

  • Intermediate to expert knowledge working with Microsoft suite, particularly Excel and Outlook
  • Experience creating and editing PDFs
  • Proven ability to learn new software systems
  • Experience using Construction Management platform preferred
  • Familiarity with Accounting principles, particularly in construction environment, preferred
  • Experience with OneDrive/Sharepoint; CMiC, Autodesk, and/or Procore
